Setting up your lists

Throughout MyDriveTime, you'll notice data fields with a list attached. These lists help control what information you can store in a field. Tap the downward-facing arrow to reveal the list options. Some lists can be customised to suit the way you work, and that's what we're going to do here. Click on a list name to view details on what the list is for, and instructions on changing the options it contains.

Configuring Locations

Customise the list of pick-up and drop-off locations shown on lesson records.

To add or change locations

  1. On the More menu, click/tap on System Settings, then select the Locations tab from the left-hand list.
  2. Click/tap Add Location, enter the location name in the Description field, then Save the new location.
  3. To change an entry, click/tap on the location name you want to change, update the Description value and Save your change. You may also set the location Status which controls whether or not the location is available for selection in the future.

Removing a location

  1. Click/tap the location name in the list under Description to open the Location Details window.
  2. Click/tap the Delete This Location button to remove it from your Locations list.

Note: If a location has been selected on at least one lesson record, it cannot be deleted from MyDriveTime. Instead, you can hide it from the list you see in future by setting it to Inactive, then saving the record.

Configuring Lead Sources

Selecting a lead source on a student record helps to remind you how that student found you. Setting this for each student will help you gain a broader understanding of how people learn about you.

To add or change lead sources

  1. On the More menu, click/tap on System Settings, then select the Lead Sources tab from the left-hand list.
  2. Click/tap Add Lead Source, enter a value into the Description field, then Save the new lead source.
  3. To change an entry, click/tap on the lead source name you want to change, update the Description value and Save your change. You may also set the lead source Status which controls whether it shows up in this list in the future.

Removing a lead source

  1. Click/tap the lead source name to open the Lead Source Details window.
  2. Click/tap the Delete This Lead Source button to remove it from your Lead Sources list.

Note: If a lead source has been selected on at least one student record, it cannot be deleted from MyDriveTime. Instead, you can hide it from the list you see in future by setting it to Inactive.

Configuring Test Centres

Customise the list of test centres you use, for selection on the Tests tab of the student record.

To add or change test centres

  1. On the More menu, click/tap on System Settings, then select the Test Centres tab from the left-hand list.
  2. Click/tap Add Test Centre, enter the test centre name (e.g. Farnborough) into the Description field, then Save the new location.
  3. To change an entry, click/tap on the test centre name you want to change, update the Description value and Save your change. You may also set the test centre Status to control whether or not the test centre is available for selection later.

Removing a test centre

  1. Click/tap the test centre name to open the Edit Test Details window.
  2. Click/tap the Delete This Test Centre button to remove it from your list of test centres.

Note: If a test centre has been selected on at least one test record, it cannot be deleted from MyDriveTime. Instead, you can hide it from the list you see in future by setting it to Inactive, then saving the record.

Configuring Deactivation Reasons

When a student no longer requires lessons from you, it's time to deactivate them. This enables you to keep their record, but moves the student to your 'Inactive Students' list, which removes them from day-to-day view. When you deactivate a student, it's useful to select the reason why, as this can be used for your reference later.

To add or change deactivation reasons

  1. On the More menu, click/tap on System Settings, then select the Deactivation tab from the left-hand list.
  2. Click/tap Add Deactivation Reason, enter a value into the Description field, then Save it.
  3. To change an entry, click/tap on the relevant deactivation reason you want to change, update the Description value and Save your change. You may also set the deactivation reason Status which controls whether it shows up in the list in the future.

Removing a deactivation reason

  1. Click/tap the deactivation reason name to open the Deactivation Reason Details window.
  2. Click/tap the Delete This Deactivation Reason button to remove it from your Deactivation Reasons list.
